Show Dates & Timing

  • The exhibitors are allowed to occupy and use the contracted space for the period:  

  • Friday 16th…12pm to 8pm

  • Saturday 17th… 10am to 8pm

  • Sunday 18th… 10am to 6pm 

Move-In & Out

  • Exhibitors will be allowed to enter the show floor and their designated booth one hour before and 1 hour after the show timing. While the move in/out:

  • Move-In – Begins Thursday June15th 10am

  • Booth Setup – Thursday June 15th from 12pm-6pm – Friday 9am-11am

  • Move-Out – Begins Sunday June 18th 6:30pm and all materials must be removed from premises (Hall 5) by 11pm

EXHIBITOR'S TERMS & CONDITIONS

Multicultural Fine Food Festival is produced and managed by B.K.Sethi Multicultural Marketing Consultant Ltd. hereafter referred as “Management”

Contract:

In addition to the terms and conditions, the contract shall include the tentative floor plan which may be changed or amended by management and the exhibitor will follow the rules as set out below.

Exhibit Space:

The cost for the space is in Canadian $ and is subject to an additional 13% HST. All booths 10ft x10ft (100 sq. ft.) include:

  • Standard 10 ft. x10 ft. draped booth, back (8 ft.) and side(3 ft.)

  • Material handling from the loading dock to the booth and return

  • 3 complimentary exhibitors' badges per 10 ft. x10 ft.

  • 2 complimentary entry passes per 10 ft. x10 ft. booth

  • 24-hour professional security

  • Exhibitor's name, product detail on e-letter and show website

  • Wash stations for cleaning dishes

  • For booth furnishing and booth design/rental exhibitor can contact GES Canada.-1-877-437-4247 or 905-283-0500 (optional)

  • Limited Refrigerated storage on sight will be made available for storing.

 

Show Dates and timing:

Freezer Space & Ice Ordering:

There will be limited Freezer and Fridge storage space available and must be requested by June 14th.

Exhibit space booking and payment terms:

The exhibitor has read the term and conditions of the contract and accepts. The contract is binding once confirmed by the management and deposit received. The deposit is non refundable and payment in full is due as per the dates specified in the booking form. While keeping in consideration the space allocation choice of the exhibitor, the booth space allocation will be made by the management. The management also reserve the right to to refuse the rental space or to exhibit if in management opinion, the exhibitor is not following the rules of the booth rental and/or not compatible with the overall show character and theme of the show. The space booked after the due date must be paid in full to confirm the space.

Cancellation and termination of the agreement:
  • Under special circumstances, the exhibitor May cancel the contract, with the written consent of the management while all monies deposited to date will remain non-refundable in all circumstances.

Losses and damages:
  • Management shall not be liable for any losses, direct, indirect, circumstantial, General, consequential or otherwise to the exhibitor, its agent or employees or their customers.

Terms to Exhibit, showcase, sample and sell:
  • The exhibitor agrees that the space rental is for showcasing their products, sample (sample sizes only), and sell packaged only to take home. The exhibitor is not allowed to sample other than sample sizes, or sell any food to be consumed on sight. All sampling and handling of food will have to be strictly per health CANADA uses and regulations and must be followed while handling food preparation or sampling or

  • There will be no cooking allowed in the booth other than warming up the pre-prepared food for sampling.

  • Each Exhibitor must ensure at all times during the period of the exhibition, must have at their own cost, and maintain during the exhibition, an insurance policy covering all General risk, bodily harm, and death of material damage occurring in the rented space or derived from such areas. Exhibitor is responsible to comply with the labour and health regulations of the city, province and Canada. Exhibitors must be able to provide these if and when requested by management. These terms become part of the space rental agreement. 

Security:
  • Management provides 24-hour professional security during the show and has taken reasonable steps to ensure safety and security to the exhibitors, but neither the management nor The International Centre is responsible for any loss or damages that occurred during storage, transit, handling or for whatever reason. 

Regulations:

Management reserves the right to change the terms of this agreement, design, floor plan or any schedule of the events. 

By signing the booth rental order form, Exhibitor is consenting and approving the terms and conditions of Exhibitors as outlined above.

All booth rentals must go through GES Canada. Standard booth rentals come with back and sidewall drapes and can be ordered at the link below.

Electrical For Your Booth

The electrical setup for your booth is provided by ShowTech Power & Lighting. If you have not ordered from ShowTech online ordering portal before, you will need to create a new account with a username and password to log in first.

Sponsorship Opportunities

In order to be an Event Sponsor, companies need to be a participant in the event*. Each sponsorship comes with the following to choose from based on the level of sponsorship:

  1. Participation in the event and add your product/coupon/sell sheet into 12,000 goodie bags to be distributed to visitors.
    Approximate distribution – 4,000 for day 1, 5000 for day 2 & 3000 for day 3.

  2. Printing Logo on the bags

  3. Company Logo on in-show Wall Banners (Est 10-12)

  4. Company Logo on Show Website

  5. Company Logo on all communications, sales material, mass mailing, and social media.

  6. Ad in the Show Guide – Full or half page…

  7. Cooking stage “Name stage as sponsor”

  8. Cooking stage – product demo/cooking/recipe – Estimated 12 – sponsors per cooking demo (2 banners during the cooking demo)

  9. Performance stage – “Name stage as  sponsor”

  10. Performance sponsor each – Estimated 12 performances over the three days (two banners during the performance)

  11. Floor decals imprints… with logo and or company name… (all artwork and decals to be provided by the advertiser) 

All sponsors/advertisers are to provide camera-ready artwork for logos, products and ads…

 

Sponsors need to participate with a minimum of 400 x 600 x 900 sq. Floor space…

All participants are to receive 2 free passes per 10 x 10 booth rental…
